General format
Let's categorize the kinds of letters our students are most likely to encounter into two simple groups: social letters and business letters. For both types, indeed for almost any letter writ­ten in English, there is a general layout or format that is followed and several general com­ponents that are required. The following model sets out (1) the writer's address, (2) the salu­tation to the addressee, (3) the body of message, (4) the closing word or phrase, and (5) the writer's signature.

Note: Readers in American English usually expect to find these parts of a letter arranged in this way; they may be confused if the format is changed. In some countries, for instance, the custom is to include the writer's name in the upper right-hand corner above the writer's ad­dress. However, a reader accustomed to American English letters may think that the (for­eign) writer's name is a street, if it is written on the first line of the address position.

Useful Vocabulary

Reasons: get experience, learn about, find out about, interested in

Personal qualities: committed, hard-working, reliable, determined, enthusiastic, creative

Experience: voluntary work, holiday jobs, participation in activities

Qualifications: hold a certificate in ..., passed exams in …, completed a course in ...

Practical skills: fluent in (language), driving licence, cooking, first aid.

Linking: Giving Reasons

I would like to work for you mainly because I am very interested in environmental issues, but also due to my interest in the problems caused by flooding.

I am familiar with problems of flood control, since I have lived all my life in a farm in Holland below sea level. I have a clean driving licence and I am a competent mechanic qa I have completed a three-year course of evening classes.

Checking

Style: Have you used formal words and expressions? Don't use contractions.

Grammar: Check your letter for grammar mistakes.

I'm sorry I haven't been in touch lately. How are you, and how's life at Basingstoke Comprehensive?

The reason I'm writing is that I was wondering if you would be willing to act as a referee with regard to several jobs I'm applying for at the moment.

After spending the past ten years in industry, I've decided to return to teaching, preferably this time in higher education. As you were my most recent Head of Department I thought that you would be the most suitable person to ask for a reference.

I'm hoping that my practical experience in the food industry will make me better qualified now than I was when I left Basingstone. So far I have applied for posts at the Oxford College of Further. Education and Kingston University, both involving teaching the catering part of the HND leisure industry course.
